Privacy Policy

Last updated: 29 October 2026

This policy explains what personal information Your Event Supplier collects when you use our website, ask us for a quote, approve artwork or place an order, how we keep it safe, and the choices you have. We only collect what we need to quote for, make and deliver your order.

Who we are

Your Event Supplier Ltd is the data controller for the information described here. We are a company registered in England and Wales (company number 14963832).

Unit 12 Broughton Grounds Business Park, Broughton Grounds Lane, Newport Pagnell, MK16 0HZ
Email: orders@youreventsupplier.co.uk

The information we collect

When you ask for a quote

Our quote form asks for your name, organisation, email address and phone number, plus details of your event (name, date, products, quantities and any notes) and any artwork or files you choose to upload.

When you approve artwork

When we send you a proof, we record whether you have opened it, your decision on each design, any comments or changes you ask for, the name you type, your signature, and the date and time you approved it. If you confirm a delivery address on the proof page, we record that too.

When you place an order

We keep the contact, delivery and invoice details needed to make, deliver and invoice your order.

When you visit our website

Our website host and security firewall process technical information such as your IP address and browser type to keep the site secure and prevent abuse. If you accept analytics cookies, we also collect information about how you use the site (see Cookies and analytics).

How we use it and why

  • To reply to your enquiry, prepare quotes, and make, deliver and invoice your order. This is necessary to take steps at your request before entering into a contract, and to perform that contract.
  • To send you artwork proofs and record your approval, so we produce exactly what you signed off. This is also part of performing our contract with you.
  • To keep our website and systems secure and running properly. This is in our legitimate interests.
  • To understand how our website is used and improve it. We only do this with your consent, which you can withdraw at any time.
  • To keep accounting and tax records, as the law requires.

We do not sell your information, and we do not use it for automated decision-making.

Where your information is stored

We do not keep customer records on the website itself. Information is held with trusted providers that act on our instructions:

  • monday.com: the details you send through our quote form, your name, email address, phone number and delivery address, your order details and your artwork approvals are stored in monday.com, the cloud-based software we use to manage our enquiries and orders (see How monday.com protects your data).
  • Sage: our cloud-based accounting software, which we use to create quotes and invoices. It holds the name, email address, billing and delivery details needed for them. You can read how Sage protects your data on the Sage Trust & Security page.
  • Email: our email runs on Google Workspace.
  • Website hosting: our website is hosted by IONOS.
  • Automation: we use Zapier to pass information securely between our own systems, for example to prepare job sheets and send order updates.
  • Delivery: when we ship your order, we give DPD the delivery name, address and contact details it needs to deliver it.

How monday.com protects your data

According to monday.com’s published security information:

  • Data is encrypted in transit using TLS 1.2 or higher (TLS 1.3 where supported) and encrypted at rest using AES-256.
  • Its security programme is based on international standards including ISO 27001 and ISO 27018. It holds ISO certifications and is audited each year by independent auditors as part of a SOC 2 Type II audit.
  • The platform is hosted on Amazon Web Services across multiple data centres, with a separate disaster-recovery site. Data is backed up continuously and the backups are encrypted.
  • Independent penetration tests of the application and infrastructure are carried out every year, and it runs a managed bug bounty programme.
  • Its staff can only access customer data on a need-to-know, least-privilege basis, and access is reviewed regularly.
  • For UK and EU personal data, monday.com’s data processing terms use recognised legal safeguards for international transfers. These include the EU–US Data Privacy Framework, Standard Contractual Clauses and the UK International Data Transfer Addendum.

You can read more on the monday.com Trust Center.

Artwork proofs on our website

Each proof we send you has its own private web link. Proofs are automatically and permanently deleted from our website 30 days after they are created. This includes the artwork files, your signature and the record of when the proof was viewed. Once a proof has been deleted, its link stops working. A record of your approval, including your name, the date and your signature, is kept with your order in monday.com so we have proof of exactly what was signed off.

How long we keep your information

  • Proofs on the website: 30 days, as explained above.
  • Quote enquiries that don’t go ahead: for as long as is reasonably needed to follow up your enquiry.
  • Orders, approvals, quotes and invoices: for as long as needed for the order and any after-care, and for accounting purposes for at least six years, as UK law requires.
  • Website analytics: up to 14 months in Google Analytics.

Sharing outside the UK

Some of our providers, such as monday.com, Sage, Google and Zapier, may process information outside the UK. When they do, the transfer is protected by safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or Addendum, or the UK–US data bridge.

Cookies and analytics

Our website only uses analytics cookies if you click Accept on our cookie banner. If you click Reject, or make no choice, Google Analytics does not load and no analytics cookies are set.

  • Google Analytics (cookies named _ga and _ga_…, lasting up to two years) helps us see which pages are visited and how people find us. Google Analytics does not store IP addresses, and we have not switched on any advertising features.
  • Your cookie choice is saved in your browser so we don’t ask you on every page.

You can change your mind at any time using the Cookie settings link at the bottom of every page.

Keeping your information secure

Our website is served over an encrypted (HTTPS) connection and protected by a security firewall and malware scanning. Proof links are long and random so they can’t be guessed. Access to our business systems is limited to staff who need it.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct anything that is wrong;
  • ask us to delete your information, or limit how we use it;
  • object to how we use it;
  • ask for your information to be transferred to someone else;
  • withdraw your consent to analytics cookies at any time.

To make any of these requests, email orders@youreventsupplier.co.uk. We will reply within one month.

If you are unhappy with how we have handled your information, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
